How to host a fundraising event

Organising and hosting an event is often the most exciting part of fundraising. It’s the easiest and most effective way to get peoples' attention, raise funds, and rally your community to celebrate the impact you’re making.

But, how do you know where to start? If you want to host the best fundraising event possible, here are our top tips from experienced World’s Greatest Shave fundraising specialists.

Keep it simple

You don’t need to reinvent the wheel or attempt the spectacular to create a successful fundraising event. The day should be enjoyable and achievable, so choose an event type that you already know will work for you and your community.

For fundraising specialist Marnie, keeping it simple can be the key. “Classic ideas like bake sales, BBQs or sausage sizzles work because they’re easy, social, and familiar. Don’t underestimate the power of simply asking your friends, family or local sporting club to get behind your fundraising,” she says.

This sentiment is echoed by our Head of Fundraising Campaigns, Al. “Cater your event and ask people to donate what they would have otherwise spent on lunch, dinner or morning tea,” she says.

As Fundraising Manager Inga explains, it’s also important to get an idea on what kind of turnout you’re expecting to help inform your fundraising goal and ensure its ambitious yet realistic. “Rally support before you commit to your fundraiser, so you know who you can count on at the event to turn up and donate.”

Lead with your "why”

A big reason that friends, family, and your wider community will want to donate is your reason for fundraising – also known as your “why”. Leading the event with this statement will ensure people know where their money is going, who it will help, and how it will positively impact others.

Al emphasises the importance of human connection and storytelling when it comes to fundraising. “Say a few words about why you’re shaving, cutting or colouring at the beginning of your event. Sharing a personal story related to your why is what turns interest into action for donors.”

Bree, our Fundraising Experience Specialist, agrees that stories can make all the difference when it comes to reaching your fundraising goal. “Keep the story short and simple and remind people what their donations make possible,” she says.

Make it fun

As Bree says, fun is another key element that is at the heart of World’s Greatest Shave events.

“Add an element of fun or anticipation to your event, whether that’s a bold haircut reveal, a friendly challenge, music, games, or a special moment. When people are enjoying themselves, they're more likely to get involved and donate.”

As Business Development Manager Jo explains, World’s Greatest Shave events are a great excuse for workplaces to come together for a good cause. “Creating a fun vibe for employees through decorations, music, and a nice morning tea or BBQ are amazing ways to bring your workplace together. I'd also recommend nominating a host to MC the event and keep employees engaged while people shave, cut or colour. Get them to ask questions around why they wanted to support.”

What not to do at your fundraising event

Don’t do it alone

As fundraising specialist Dave recalls, a common regret many fundraisers have is not reaching out to either the World’s Greatest Shave or friends and family for help. “Some of the most common feedback we hear from fundraisers is, ‘“I should have asked for help.’” “So, remember to ask for help early in the planning process. You can ask someone you know or contact our fundraising team for specialised advice. We are here for you!”

Marnie agrees, while also emphasising the importance of community and people coming together for the cause. “Community events work best when they feel shared. Avoid trying to do everything on your own. Ask for help, delegate where you can, and remember that people genuinely want to support you and the cause.”

Planning last minute

Failing to plan is planning to fail, and as Bree suggests, the earlier you start your fundraising journey the better. “Start talking about your event early, share updates along the way via social media, and give people multiple chances to support you. Fundraising grows with momentum, and people often need a reminder (or two) before they're ready to give.”

“When planning an event in a workplace, school, or workplace, form a committee and get started early to promote the event and get attendees excited!"

Doing something risky or dangerous at your event

As Fundraising Manager Inga explains, while going above and beyond to raise funds is important, it should never come at the expense of health or safety. “When planning your fundraising event, it’s best to avoid any activities that are risky or dangerous. If you’re unsure about something or want to know if it’s appropriate for your event, contact our fundraising team and we can help. The only thing more important than raising funds is the safety of everybody at your event!”
